This document provides an overview of how to manage client access, as well as information on the client experience when using Family Portal.
User Management for Clients
Use the ‘Overview’ tab to add or manage access to Family Portal for active clients. In the top right-hand nav,click ‘Add Family Portal access’. Select the ‘client’ permissions and hit ‘Save’. Note: Family Portal access cannot be added for discharged clients.
Managing Client Access
| Once you have created access for your client, you can manage their permissions and email address. You can also remove access from Family Portal by going to the ‘Overview’ tab, clicking ‘Manage Family Portal Access’ and choosing what you want to edit and save. |

User Management for Client Contacts
You may also want to provide client contacts (family members) with access to Family Portal. Under ‘Coordination’, select the client contact you wish to enroll. In the ‘Edit’ menu, select the drop-down arrow to enroll and manage Family Portal permissions for your client contact.
Client Experience: Navigation
In this section, we will provide an overview of the client and client contact user experience. To best understand the client/client contact user experience, please read the section below.
- Start by logging into the ‘Test’ Family Portal with the credentials.
- Open an incognito window on Google Chrome.

- Once a client has been turned on for Family Portal in AlayaCare, they will automatically receive this welcome email.
Navigating Family Portal
To navigate Family Portal, and maximize the client experience, you will utilize the four tabs found in the top left-hand nav when they log in.

Home
The ‘Home’ tab provides a summary of the client’s information, Care team, and client’s most recent visit with a Caregiver.
Care
The Care tab provides clients with access to vital records and medications the client has received, if applicable. Under the ‘Care’ tab, clients can view information about Caregivers on their Associated Employees list. They can access this by clicking on ‘View Full Care Team”.
Schedule
The Schedule’ tab provides clients with the ability to view their schedule in real time, including all past appointments, as well as appointments that are scheduled up to 60 days in the future. In the top left-hand nav, there is a drop-down menu to view the schedule for the day, week or month.
Profile Tab
Clients have the ability to view profile information such as birthday, gender, phone number and address! Clients can also include a picture of themselves if they choose to.
Daily Activities Completed by the Caregiver
To view the daily activities that need to be completed by a Caregiver, clients will need to click on a future visit and to see a list of all Caregiver activities. Note: Clients cannot view daily activities anywhere else in the Family Portal.
